Features evolve continuously; we may add, improve or retire individual capabilities, and material removals will be notified in advance where practicable.
2. Accounts & eligibility
You must be at least 18, use the Service for business purposes, and provide accurate account details. You are responsible for your users' actions, for keeping credentials secure, and for assigning appropriate role scopes (admin / manager / worker) to your team.
3. Trials, plans & billing
- Trial. New workspaces receive a 21-day free trial. No card is required to explore; a payment method is required to continue after the trial.
- Plans. Launch (3 users), Grow (8), Pro (16) and Scale (28, plus additional users at a per-user monthly rate) — each a flat price with the stated users included.
- Currency & tax (AU). Prices are in AUD. Where GST applies, it will be shown at checkout; tax invoices are provided for every payment.
- Annual billing provides two months free versus monthly. Plan changes take effect immediately with pro-rated adjustment on the next invoice.
- Cancellation. Cancel anytime; access continues to the end of the paid period. Except where required by law, fees are non-refundable.
- Usage-based services. SMS, voice calling and telephony usage may incur metered charges at the rates shown in your workspace billing settings.
4. Your data
You own all data you and your users store in the Service — including contacts, leads, deals, quotes, invoices, jobs, photos, signatures, messages and files ("Customer Data"). You grant us a limited licence to host and process Customer Data solely to operate, secure and support the Service. You can export Customer Data (CSV and PDF where applicable) at any time, and for a reasonable period after termination.
5. Your responsibilities for your customers' data
You are the controller of the personal information you store about your own customers. You warrant that you have the right to store it and, where you use the Marketing or Comms Hub modules, that you have any consents required for electronic messaging: under the Spam Act 2003 (Cth) and Do Not Call Register Act 2006 (Cth) in Australia. SMS and email campaigns must include any legally required identification and opt-out mechanisms.
6. Third-party services
Some features rely on third parties: Stripe and PayPal (payments and hosted invoices), banking data you import, SMS and voice carriers, email delivery providers, Google AI models (AI Tools), and n8n (automation). Your use of those features is also subject to the relevant third party's terms. If you connect your own Stripe/PayPal account to invoice your customers, those transactions are between you, your customer and the payment provider — CatchaCRM is not a party to them and is not a payment processor, financial adviser or tax agent.
7. AI features
AI Tools generate draft content (copy, emails, SMS). Output may be inaccurate or incomplete — you must review it before sending or relying on it. You are responsible for content you send. AI features may process the prompt text you provide through third-party AI providers; do not include data you are not permitted to share.
8. Acceptable use
You must not: send spam or unlawful messages; store or distribute unlawful content; attempt to breach tenant isolation or probe the platform's security; resell access without authorisation; use the Service to build a competing product; or interfere with its operation. We may suspend accounts for serious or repeated breaches, with notice where practicable.
9. Intellectual property & white-label
We own the Service, its software and branding. Scale-plan white-labelling licenses you to present your own logo and product name within your workspace; it does not transfer any ownership of the underlying platform.
10. Availability & support
We target high availability but do not guarantee uninterrupted service. Planned maintenance will be scheduled to minimise disruption where practicable. Support is provided per plan (email or priority support). An in-app crash reporter files platform issues automatically.
11. Consumer guarantees, liability & law (Australia)
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy under the Australian Consumer Law (ACL) or other law that cannot lawfully be excluded. To the extent permitted by law, and subject to the ACL: (a) the Service is otherwise provided "as is"; (b) our aggregate liability arising out of or in connection with the Service is limited to the amount you paid for the Service in the 12 months preceding the claim; and (c) neither party is liable for indirect or consequential loss. Where a guarantee applies and liability may lawfully be limited, our liability is limited to re-supplying the Service or paying the cost of re-supply.
These Terms are governed by the laws of New South Wales, Australia, and the parties submit to the non-exclusive jurisdiction of its courts.
12. Termination
Either party may terminate for material breach not cured within 14 days of notice. On termination we will make Customer Data available for export for at least 30 days, after which it is deleted from production systems in the ordinary course.
13. Changes & contact
We may update these Terms; material changes will be notified in-app or by email at least 14 days before taking effect. Continued use after the effective date constitutes acceptance. Questions: hello@catchacrm.com.

The Service is supplied to you as a business. The Consumer Rights Act 2015 is intended for consumers and does not generally apply to a business-to-business subscription like this one. If any law gives you rights that cannot lawfully be excluded or limited, nothing in these Terms excludes or limits them.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded or limited under the law of England and Wales. Subject to that, and to the extent permitted by law: (a) the Service is otherwise provided "as is" and "as available"; (b) our aggregate liability arising out of or in connection with the Service is limited to the amount you paid for the Service in the 12 months preceding the claim; and (c) neither party is liable for indirect or consequential loss, or for loss of profits, revenue or data. You agree that these limits are reasonable for the purposes of the Unfair Contract Terms Act 1977.

Privacy Policy — Australia
Last updated 17 October 2026
CatchaCRM Pty Ltd (ACN 703 259 330) ("CatchaCRM", "we", "us") provides a cloud-based CRM platform for trade and field-service businesses (the "Service"). This policy explains how we collect, hold, use and disclose personal information. For Australia, we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), including the Notifiable Data Breaches scheme.
1. Two kinds of data
- Account data — information about you and your users (we act as the data controller).
- Customer Data — information you store about your customers inside the Service (we act as a processor / service provider on your instructions; your business is the controller).
2. What we collect — by module
The Service is modular. What we hold depends on the modules you use:
| Module | Typical data processed |
|---|---|
| Account & billing | Name, business name, ABN/tax ID, address, email, phone, credentials, role assignments, plan and payment records (card details are processed by Stripe — we never store full card numbers) |
| Sales CRM | Your customers' contact details, company details, deal values, notes, tasks, calendar events, communication history |
| Quoting, Invoicing & Subscriptions | Quote/invoice line items, amounts, tax details, payment status, public pay-link tokens, credit notes, recurring billing schedules |
| Payments, Banking & AP | Payment records, imported bank transaction lines, reconciliation matches, supplier and bill details, expenses |
| Jobs & Field Dispatch | Job details and site addresses, dispatch coordinates and zones, crew and equipment rosters, checklist/SWMS records, site photos, customer digital signatures |
| Inventory & Procurement | Product/service catalogues, stock levels, warehouse bin locations, purchase orders, RFQs, supplier quotes |
| Marketing & Growth | Campaign lists and send logs, review invitations and responses, social post content, inbound form/chat/calculator submissions |
| Support Desk | Tickets, SLA timing, message threads, knowledge-base usage |
| Comms Hub | Connected email account threads, email/SMS message content and delivery metadata, call records via the softphone, team chat messages, templates and sequences |
| AI Tools | Prompt text and generated drafts (processed via third-party AI providers to produce the output) |
| Automation | Workflow rules, webhook payloads you configure, execution logs |
| Security & platform | Login history, IP addresses and restrictions, audit trails, field history, import/export logs, device/usage data, crash reports |
3. How we use information
To provide, secure, support and improve the Service; process billing; send service communications; prevent fraud and abuse; and meet legal obligations. We use aggregated, de-identified usage data to improve the platform. We do not sell personal information.
4. Disclosure & sub-processors
We disclose information only to operate the Service: cloud hosting and database infrastructure (Supabase/AWS, Vercel, Hostinger), payments (Stripe, PayPal), SMS and voice carriers, email delivery providers, AI model providers (Google) for AI Tools, and automation infrastructure (n8n) — plus disclosures required by law or made with your consent. Each provider is bound by contractual data-protection obligations.
Some providers store or process data outside Australia (including the United States, India and Singapore). We take reasonable steps consistent with APP 8 to ensure overseas recipients handle personal information in accordance with the APPs.
5. Security
Multi-tenant isolation enforced with database row-level security, encrypted transport (TLS), role-based access scopes (own/team/all), IP restrictions, login history and immutable audit logs. No system is perfectly secure — use strong passwords and manage user access carefully.
6. Retention
Account data is kept while your account is active and as required for legal/tax purposes. Customer Data is retained while your subscription is active; after termination it remains exportable for at least 30 days, then is deleted from production systems in the ordinary course. Data-retention policies can also be configured per workspace.
7. Cookies & tracking
The website and app use strictly necessary cookies (session, security, region preference). We do not run third-party advertising trackers.
8. Your rights (Australia)
You may request access to or correction of your personal information at any time via hello@catchacrm.com. We will respond within a reasonable period. If you are unsatisfied with our handling of a complaint, you may contact the Office of the Australian Information Commissioner (OAIC, oaic.gov.au). Eligible data breaches will be notified to affected individuals and the OAIC under the Notifiable Data Breaches scheme.
9. Children
The Service is for business use and not directed to children under 16. We do not knowingly collect children's personal information.
10. Changes & contact
Material changes to this policy will be notified in-app or by email. Privacy questions, requests and complaints: hello@catchacrm.com.
Privacy Policy — United States / International
Last updated 17 October 2026
CatchaCRM Pty Ltd (ACN 703 259 330) ("CatchaCRM", "we", "us") provides a cloud-based CRM platform for trade and field-service businesses (the "Service"). This policy explains how we collect, hold, use and disclose personal information. For the United States, this policy addresses state privacy laws including the CCPA/CPRA (California) and comparable laws in other states.
1. Two kinds of data
- Account data — information about you and your users (we act as the data controller).
- Customer Data — information you store about your customers inside the Service (we act as a processor / service provider on your instructions; your business is the controller).
2. What we collect — by module
The Service is modular. What we hold depends on the modules you use:
| Module | Typical data processed |
|---|---|
| Account & billing | Name, business name, ABN/tax ID, address, email, phone, credentials, role assignments, plan and payment records (card details are processed by Stripe — we never store full card numbers) |
| Sales CRM | Your customers' contact details, company details, deal values, notes, tasks, calendar events, communication history |
| Quoting, Invoicing & Subscriptions | Quote/invoice line items, amounts, tax details, payment status, public pay-link tokens, credit notes, recurring billing schedules |
| Payments, Banking & AP | Payment records, imported bank transaction lines, reconciliation matches, supplier and bill details, expenses |
| Jobs & Field Dispatch | Job details and site addresses, dispatch coordinates and zones, crew and equipment rosters, checklist/SWMS records, site photos, customer digital signatures |
| Inventory & Procurement | Product/service catalogues, stock levels, warehouse bin locations, purchase orders, RFQs, supplier quotes |
| Marketing & Growth | Campaign lists and send logs, review invitations and responses, social post content, inbound form/chat/calculator submissions |
| Support Desk | Tickets, SLA timing, message threads, knowledge-base usage |
| Comms Hub | Connected email account threads, email/SMS message content and delivery metadata, call records via the softphone, team chat messages, templates and sequences |
| AI Tools | Prompt text and generated drafts (processed via third-party AI providers to produce the output) |
| Automation | Workflow rules, webhook payloads you configure, execution logs |
| Security & platform | Login history, IP addresses and restrictions, audit trails, field history, import/export logs, device/usage data, crash reports |
3. How we use information
To provide, secure, support and improve the Service; process billing; send service communications; prevent fraud and abuse; and meet legal obligations. We use aggregated, de-identified usage data to improve the platform. We do not sell personal information, and we do not "share" personal information for cross-context behavioural advertising as defined by the CPRA.
8. Your rights (United States)
Depending on your state, you may have the right to: know/access the personal information we hold about you; correct it; delete it; obtain a portable copy; and not be discriminated against for exercising these rights. We do not sell personal information, so no "Do Not Sell or Share" opt-out is required — but you can still submit any request to hello@catchacrm.com and we will verify and respond within the timeframe your state law requires. Authorised agents may submit requests with proof of authorisation.
Note for your own compliance: if you store Californians' data in your workspace, we act as your "service provider" under the CCPA/CPRA and process it only per our contract with you.
9. Children
The Service is for business use and not directed to children under 16. We do not knowingly collect children's personal information.
10. Changes & contact
Material changes to this policy will be notified in-app or by email. Privacy questions, requests and complaints: hello@catchacrm.com.
Privacy Policy — United Kingdom
Last updated 17 October 2026
CatchaCRM Pty Ltd (ACN 703 259 330) ("CatchaCRM", "we", "us") provides a cloud-based CRM platform for trade and field-service businesses (the "Service"). This policy explains how we collect, hold, use and disclose personal data. For the United Kingdom, we handle personal data in line with the UK GDPR and the Data Protection Act 2018. CatchaCRM is a business-to-business service; it is not offered to consumers.
1. Two kinds of data
- Account data — information about you and your users (we act as the data controller).
- Customer Data — information you store about your customers inside the Service (we act as a processor on your instructions; your business is the controller).

To provide, secure, support and improve the Service; process billing; send service communications; prevent fraud and abuse; and meet legal obligations. We use aggregated, de-identified usage data to improve the platform. We do not sell personal information.
Lawful bases (UK GDPR Article 6).
- Contract — to create your account, provide the Service and process billing.
- Legitimate interests — to secure the Service, prevent fraud and abuse, understand and improve the platform, and communicate with business customers about the Service, balanced against your rights and expectations.
- Legal obligation — for tax, accounting and other legal requirements.
- Consent — where we ask for it; you can withdraw it at any time.
For Customer Data we act as your processor under UK GDPR Article 28 and process it only on your documented instructions. You are responsible for having a lawful basis for the personal data you put in your workspace. We will enter into a data processing agreement with you on request.
International transfers. CatchaCRM is based in Australia, and some providers store or process data outside the United Kingdom (including Australia, the United States, India and Singapore). Where UK GDPR restricts such a transfer, we rely on an appropriate safeguard, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or another transfer mechanism that UK law permits. You can contact us for more information about the safeguards we use.
5. Security
Multi-tenant isolation enforced with database row-level security, encrypted transport (TLS), role-based access scopes (own/team/all), IP restrictions, login history and immutable audit logs. No system is perfectly secure — use strong passwords and manage user access carefully.
If a personal data breach is likely to result in a risk to individuals' rights and freedoms, we will report it to the ICO within 72 hours of becoming aware of it, and we will tell affected customers without undue delay.
8. Your rights (United Kingdom)
Under the UK GDPR you have the right to be informed; to access your personal data; to have inaccurate data corrected; to have data erased; to restrict or object to processing; to data portability; and to object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time.
To exercise a right, email hello@catchacrm.com. We will respond within one month, which may be extended where the law allows. If your personal data is in a customer's workspace, we may direct you to that customer, who is the controller.
Complaints. Please contact us first and we will try to resolve your concern. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
9. Children
The Service is for business use and not directed to children under 16. We do not knowingly collect children's personal information.
10. Changes & contact
Material changes to this policy will be notified in-app or by email. Privacy questions, requests and complaints: hello@catchacrm.com or 0400 985 860.
